Exhibitor Information
The AIA Oklahoma Conference is just around the corner and we’re excited you will be joining us on October 22-23, 2025 in Oklahoma City at the Skirvin Hotel. Here are a few things you need to know.
1). Hotel. We have a block of rooms at the Skirvin Hotel but it’s filling up fast so if you need a room, be sure to get one booked. https://aiaoklahoma.com/2025-conference/hotel-information/
2). Booths. Booths are 9 feet wide by 6 feet deep and they will have two chairs and a 6-foot table with a tablecloth.
3). Booth electricity. If you need electricity, you will need to go through the hotel to make that happen. They won’t let us just bring power strips and plug in etc. Attached is a form to request that and if you have other questions, you can reach out to Kelsey at kelsey.huber2@hilton.com.
4). Booth deliveries / accessories. If you need to have something delivered to the hotel or need other accessories for your booth, you can find more information on the procedures on the attached form.
5). Booth Set Up. Set up will be on Tuesday, October 21st from 5:00 – 7:00 pm. OR from 7:00 – 8:00 am on Wednesday, October 22nd. We are working to get in earlier on Tuesday and if that happens, we’ll let you know. (We will provide security on Wednesday evening so if there are items that need to be secured on Tuesday evening, we can lock it up in the ballroom or you can bring it in on Wednesday morning).
6). Registration. Your booth comes with two free registrations for the conference. You can have the same two people there both days or if you want two one day and two the other, that works too. You can register HERE and just scroll down and find the exhibitor option. You’ll have to register each one individually. And if you wish to attend tours or the receptions, be sure to scroll down and select those as well. (Please know that as a conference attendee, you are welcome to attend all the conference sessions, receptions, tours etc. Here is the full schedule.)
7). Goodie Bags. If you have anything to put in the goodie bags, please reach out to myself or Lindsey (lindsey@aiaarchitects.com) to coordinate delivery. Please note this is not required. We know most will have their goodies at their booths. We just wanted you to know the option is there.
